Redmond has several online conferencing, content-sharing, and meeting-oriented products, yet none of them seem to talk to each other. There's Live Meeting 2007, collaborative meeting rooms in Office Online, Groove 2007, the content- and document-sharing application in Office 2007, Vista's Windows Meeting Space (which I've never seen anyone use), and even OneNote 2007. Why doesn't Microsoft expand on OneNote and enable it as a client choice for Live Meeting conferences? This would let users take and file notes in the same application in which they already attend regular face-to-face conferences—and most of the required tools are already there, including annotation, content import, Web linking, and the ability to record audio and video. Ignoring OneNote simply baffles me. And since Live Meeting is a fat client anyway, I fail to see why no one in Redmond is working on this synergy. I'm not saying Microsoft should kill Live Meeting, but adding its voice, video, and presentation abilities to OneNote would allow local users to manage the content of these meetings much more effectively.Compared with HearMe or WebEx MeetMeNow, Live Meeting definitely has the edge in features and future potential. But HearMe is a much more basic conferencing package that will attract folks over Live Meeting only if they're heavily dependent on videoconferencing, in which HearMe has the edge. WebEx wouldn't match MeetMeNow against Live Meeting directly, most likely referring customers to one of its enterprise solutions instead. Adobe, however, offers a deeper feature set in both online events and lead tracking, and it offers them all in one package, our Editors' Choice–winning Acrobat Connect Professional. Taking a different approach than most contenders in the online meeting/conferencing market, Microsoft Live Meeting 2007 uses a fat client model rather than running everything through a browser. Although this approach has pros and cons, you can't dispute that Redmond has given the platform a serious upgrade, adding advanced features like 360 webcam support, integrated full-duplex VoIP, and support for multiple rich-media formats—as well as a solid Web-only version for those who don't have the client. If only Live Meeting 2007 worked a little more reliably!For basic Web meetings, you don't necessarily need the full Live Meeting client. In fact, unless you're deploying Live Meeting behind your own firewall, most of your attendees will probably wind up using the Web client. Invitees without the app installed will be given the option of installing the client or using the Live Meeting Web Access (LWA) console before logging in to a meeting. LWA provides all the basic features needed to participate in a session. It gives participants a list of attendees, inline chat capability, a shared presentation window, and basic annotation tools. For any of the advanced features, including support for multiple webcams and VoIP, however, you'll need the full client. Other than the advanced features requiring client software, Live Meeting operates similarly to comparable packages such as Adobe Acrobat Connect Professional, HearMe, and WebEx MeetMeNow. Microsoft makes the product available as a hosted service (Live Meeting Online), or you can purchase it and set it up in-house, which requires a dedicated server and entails paying a server licensing fee. An Outlook add-on allows you to schedule Live Meetings within Outlook the same way you'd schedule regular face-to-face meetings, letting you include meeting attendees and send notifications. You can also manage invitations and contact lists from the Web via your Live Meeting account. The basic rule, while not written in stone, is that customers in small and midsize businesses should stick with the online service, and only enterprise-size customers should worry about a local server installation. SMBs wanting to use some of the slick integration features that work with Microsoft's back-end server platforms will have to break that rule.If you go the hosted-server route, all you need to worry about is installing the Live Meeting 2007 client, and that's trivial. You can download the 16MB executable on its own, but you'll still be required to register for the Live Meeting Online service to host meetings or seminars. Great back-end integration for all-Microsoft shops. Companies using lots of Microsoft products on the back end, especially Exchange Server 2007 and Office Communications Server 2007 (OCS), will find that Live Meeting suddenly becomes a one-click affair. In combination with the Office Communicator client, users with these servers can initiate a conversation as an e-mail, pull multiple folks into a Communicator Chat session, escalate that to a conference call, and then decide to move the whole thing to a collaborative Live Meeting—all without ever losing the call. You can use Communicator's presence management (which tells if contacts are away, on the phone, and so forth) to help find people who are available for meetings, and you can use Exchange and Outlook to schedule Live Meeting sessions and deliver invites. Not everyone in one of these sessions needs to be using Live Meeting, either. OCS can allow those with Live Meeting in front of them to take full part in a collaborative session, but those using Communicator, or even just phones, can still listen in or watch via video.This combination is powerful, but there are several caveats. First, it's expensive. I'm not just talking about server licensing and dedicated hardware, either--though those costs can be considerable when you factor in new VoIP phone handsets and similar knickknacks at every seat. I'm also talking about expertise, since 999 out of 1,000 small and midsize businesses won't have Microsoft-specific VoIP IT talent on staff. That means consultants, project managers, and all the other doodads that can turn a gee-that-sounds-great meeting into a major budget hit. I'm not saying it isn't worth it. For many customers, especially those with large sales staffs, these technologies can be worth their weight in uranium. Just make sure you plan such an installation carefully and with return on investment in mind, or your budget could feel the fallout. But even without all its back-end bonuses, used strictly as a standalone Web conferencing solution, Live Meeting can compete with any major player. The service supports up to 1,250 attendees for a single session, so you're covered for conduction e-learning sessions and events. As with Acrobat Connect Pro and, to a lesser extent, HearMe, Live Meeting 2007 includes event tools like registration tracking, survey distribution, and meeting-role features that let you separate administrators from speakers and attendees. Registration now supports automatic notifications in case of schedule changes, and now, in addition to supporting ad hoc polling, Life Meeting can also send survey results to specific recipients via e-mail and export survey reports to Excel or CSV files.
